A Culture of Student Data Privacy
From administrators to teachers, give everyone what they need to comply with privacy requirements and keep your students’ data safe
Argossey strengthens teacher–student relationships while meeting the highest standards of privacy, security, and transparency.
Argossey collects only what’s needed to support meaningful educator–student connections—nothing more. Our closed, school-directed system records and analyzes 1-on-1 conversations without ever sending identifiable information to public AI models or external machine-learning services.
Fully FERPA & COPPA aligned: Student data stay under district and school control.
No data sales or advertising: We never sell, broker, or use student data for marketing.
Secure AI inferences: All insights and narrative summaries are algorithmic inferences generated inside Argossey’s controlled environment.
Transparent and accountable: Clear documentation and deletion options keep schools informed
Device-neutral security: While personal devices may be used, no data stay on teacher’s devices–the information remains safely within the securely controlled cloud environment
Argossey’s single goal is to help educators nurture authentic relationships safely and responsibly.
Policy
Argossey (“Argossey,” “we,” “us,” or “our”) provides a teacher-directed application that helps K-20 schools strengthen teacher-student relationships, document qualitative observations, and generate educator-directed student narrative summaries. We understand that privacy is essential to our users—district and school customers (“Schools”), educators, administrators, and staff (collectively “Educators”), parents/guardians (“Parents”), and students (“Students”). This Privacy Policy describes how we collect, use, disclose, and safeguard information in connection with our websites, applications, and related services (collectively, the “Service”).
Argossey is designed to support Schools’ legal obligations under FERPA, COPPA, and CIPA and we process Student Data only for educational purposes under the direction and control of the School.

Scope & Roles
Scope: This Policy applies to our application and in-product experiences provided to Schools and their authorized users.
School-directed processing: When Argossey processes Educator and Student Data (information that directly relates to an identifiable educator or student and is maintained or provided for school purposes), we do so solely on behalf of the School and at its direction. Schools determine which data are shared with Argossey.
Legal frameworks: Our handling of Student Data supports Schools’ responsibilities under FERPA and COPPA, including the COPPA “school consent” mechanism. We limit collection and use to educational purposes authorized by the School. For purposes of FERPA, Argossey functions as a “school official with legitimate educational interests” and processes Student Data only under the control and direction of the School.
What We Collect
From Schools and Educators
School and contact details (district/school name, work email, classes), implementation preferences, and configuration data
Roster and class information
Educator names, email addresses, and assigned classes
Audio recordings between educators and students (in cloud, not on device)
Educator-entered student observations, relationship-health indicators, check-in notes, and any educator-entered media (photos and/or optional voice recordings)
Student Data
Student profile and roster fields shared by the School (e.g., name, grade, school/district ID)
Educator-entered content about a student (e.g., check-in context, support plans, narrative notes)
Usage events necessary to operate the Service (e.g., sign-in time, feature access logs)
Audio recordings with a teacher with Student consent
Argossey does not require biometric identifiers, precise geolocation, or advertising IDs to deliver core features.
Data: Collection & Use
We receive Student Data from the School and access it only as requested by the School and solely to perform the Service on the School’s behalf.
Student Data is used strictly for educational purposes authorized by the School and is treated as part of the student’s education record under FERPA and aligned with COPPA and CIPA.
We also collect Educator and Administrator account data to implement and operate the Service, provide support and professional development training, improve features, and communicate with the School.
Information Collected
In addition to standard web-application telemetry, Argossey records and analyzes one-on-one conversations between Educators and Students, when initiated by the teacher
Audio Data – The raw audio recording of the conversation.
Transcript Data – Text generated from speech-to-text conversion.
Metadata – Date, time, duration of the meeting, device type, browser, IP address, and other diagnostic details.
We use cookies or similar technologies only to keep users signed in, protect sessions, and measure product health.
We do not use Student Data for behaviorally targeted advertising or allow ad networks to collect data from Argossey.
AI-Generated Inferences
Many Argossey insights are algorithmic inferences generated by our AI engine based on recordings and transcripts. These are intended to assist educator reflection and professional development and should not be treated as sole factual reports.
Examples include: Inferred engagement levels per conversation
Identified trends in communication style and relationship health
AI-generated tags related to conversational content and sentiment
AI-generated diarisation of transcript
Personalized insights and coaching suggestions for the educator
Narrative summaries and recommendations displayed on the Student Profile Page
All such inferences remain confined to Argossey’s secure environment and are not shared with any external AI model for training.
How We Use Information
We use information to: Operate, secure, and support the Service
Provide and improve features
Troubleshoot and enhance reliability, accessibility, and usability
Comply with law, enforce terms, and protect rights, safety, and service integrity
Produce de-identified, aggregated insights to improve service quality
How We Do Not Use Information
We make the following commitments: No sale of personal information and no behavioral/third-party advertising
No training of public or third-party foundation AI models with Student Data
No profiling of Students for non-educational purposes
No data brokering, cross-site tracking, or targeted marketing
How We Share Information
Within the School’s environment: Student Data are visible to the educator who entered them. Argossey staff access is limited to least-privilege operational needs under confidentiality obligations.
At the School’s direction: Where the School authorizes interoperability (e.g., with an LMS), we share Student Data strictly as directed.
Service providers (subprocessors): Vetted vendors bound by strict data-processing agreements.
Legal compliance and safety: We may disclose information if required by law or to protect users, with notice to the School when legally permitted.
Aggregated or de-identified data: Used to analyze service performance and improve functionality.
Security
We maintain administrative, technical, and physical safeguards aligned with K-20 edtech best practices, including: Encryption in transit and at rest
Least-privilege, role-based access controls and magic link authentication
Network segmentation, logging/monitoring, and vulnerability management
Vendor due diligence and contractual security requirements
Data Retention & Deletion
School-controlled retention: We retain Student Data only as long as necessary to provide the Service—we ensure that data is deleted when an account is shut down
Deletion on request: Upon School request (e.g., student departure or end of agreement), we delete Student Data within a commercially reasonable period and confirm completion.
Backups and logs: Backups containing Student Data are rotated and expire on a defined schedule; deletion propagates to backups within a commercially reasonable period.
Residual/aggregates: We may retain de-identified or aggregated system metrics for service integrity and auditing.
In the event of a security incident affecting Student Data, Argossey will notify the School without unreasonable delay and in accordance with applicable federal and state breach notification laws, so the School can fulfill its own obligations to students, parents, and regulators.
Children’s Privacy (COPPA/CIPA)
When Argossey is used with Students under 13, the School provides consent on behalf of Parents, consistent with COPPA’s school-consent model. We intentionally limit any collection from children to what the School directs and what is necessary to provide the Service.
Argossey does not collect personal information directly from children under 13 outside of the School’s authorization. When a School enables Argossey for students under 13, the School represents that it has obtained the necessary parental consent or is permitted to consent on parents’ behalf under COPPA.
Argossey does not provide Internet access or filtering functions; compliance with CIPA’s broader requirements remains the responsibility of the School or district.
Access, Correction, and Choices
Schools are the custodians of education records. Upon a School’s request, we help the School access, correct, export, or delete Student Data as required by law.
School administrators may request updates to Educator accounts and product configurations.
Subprocessors
We rely on carefully vetted service providers (e.g., cloud hosting, secure logging, customer support). Each is bound by a written agreement that limits processing to Argossey’s documented instructions and requires appropriate security measures. A current list of subprocessors is available to Schools on request. Argossey will provide advance notice (e.g., thirty (30) days) before engaging a new subprocessor, and Schools may object consistent with their agreements.
AI & Model Training Transparency
Student Data remain within Argossey’s secure environment and are never shared with external AI providers for model training.
If we evaluate features using de-identified data, we do so with strict technical and contractual guardrails. Any human review of outputs for quality assurance is conducted by authorized personnel under confidentiality obligations.
AI-generated insights are advisory only and should not be treated as sole or determinative records for student grading, discipline, or placement decisions.
Changes to this Policy
We may update this Policy to reflect product, operational, or legal changes. For material changes, we will notify customer administrators in advance so Schools can review and, if necessary, adjust settings or discontinue use before the changes take effect.
